Caretap EVV app guide

How to install the app, check in and out of a shift, and capture signatures. Federal law requires electronic verification of these visits, so this is not optional paperwork.

1. Install the app

Search for Caretap EVV in your phone's app store, or use the direct links below. The publisher is SRS Web Solutions.

2. Log in

Open the app and fill in the three fields on the login screen. The office issues all three.

PasswordIssued to you individually by the office. Change it if prompted.
Your login is yours alone. Never share it, never let anyone else clock in or out under your name, and never clock in for a shift you are not physically at. EVV records the time and location of every visit, and falsifying a visit record is fraud that can end in criminal prosecution.

3. Check in

Do this when you arrive, not on the way.

Select the client

Choose the client's name from the Select Client dropdown.

Select the visit type

Choose the service you are actually providing, PCA or homemaker. This must match the service authorized in their plan.

Tap CHECK-IN

The green button. You will see a confirmation screen with your check-in time and a running timer, which means you are checked in.

4. Check out

Do this before you leave the client's home.

Tap NEXT

From the timer screen. You will be asked whether this is a shared service location and shown your check-in location.

Select the activities completed

Tick every task you actually performed during the visit. Do not tick tasks you did not do.

Tap END SHIFT

The red button. Your total hours and check-out location are recorded.

5. Get the client's signature

Signatures confirm the hours and services on the timesheet. Get them before the end of the pay period, not weeks later.

Tap the T at the bottom of the home screen

This opens your timesheet, showing your clock in and out times and total hours for the week.

Tap GET SIGNATURE

At the bottom of the timesheet screen.

Choose the week and the service type

Select the work week the client needs to sign for, then PCA or homemaking.

Tap the client's name

This opens the acknowledgement screen with the signature box.

Have the client sign

The client reviews the hours and services, then signs in the box themselves.

Have the client enter their patient code

The client enters their own code, then tap VERIFY.

Sign your own attestation

Scroll up to Update PCA Signature and sign. You are certifying under penalty of law that the hours, services, and dates are accurate.

Tap DONE

When both signatures are captured, Client Sign Status changes to YES.

If the client cannot sign, check the boxes indicating a responsible party is signing or that the client is unable to sign, then continue. Never sign for a client and never enter their code yourself.

6. Manual entry

For a missed check-in or check-out. Report it to the office the same day.

Open the gear menu

Top right of the home screen, then tap Manual Mode.

Enter the visit details

Select the client, the visit type, the date, and the start and end times.

Select activities and tap DONE

Confirm the entry when prompted. Then tell the office why a manual entry was needed.

7. Telephone check-in

Use this when you have no data signal. Call from the client's phone.

The number must be the phone registered to that client.

Press 1 to clock in, 2 to clock out

Follow the prompts.

Enter your caregiver ID

Issued to you by the office.

Enter the activity codes

Use the code sheet the office provides for the services you completed.

What caregivers ask most about the app.

Can I leave the app and use my phone during a visit?
Yes. Once you are checked in you can switch to other apps and use your phone normally. The visit stays open until you check out.
Do I need internet to check in and out?
Yes. You need wi-fi or cellular data to complete a check-in and a check-out. If you have no signal at a client's home, use the telephone option or tell the office so it can be corrected the same day.
What if I forget to check in or out?
Tell the office the same day. Manual entries can be made in the app, but they are reviewed, and a pattern of manual entries is a compliance problem. Do not wait until payroll to raise it.
What if the client cannot sign?
Check both boxes on the signature screen to indicate a responsible party is signing or the client is unable to sign, then continue. Do not sign on a client's behalf under any circumstance.
What if I do not know the client's patient code?
The client has it. If they do not know it, call the office. Never guess it and never enter a code yourself on the client's behalf.
I got a new phone. What do I do?
Install the app again from the App Store or Google Play and log in with the same credentials. Call the office at (612) 345-4490 if the login does not work.
