Minnesota DHS PCA and CFSS training and tests

If you work in Personal Care Assistance (PCA) or Community First Services and Supports (CFSS), Minnesota DHS requires you to pass a free test. Take the free training first, then register for the test that matches your role. After registering you will receive an email with the link to the training and the exam.

Most staff

PCA / CFSS support worker

For people who help clients with daily tasks under either program, including current CSG workers. This is the test most ALLCARE staff need.

Agency role

PCA Qualified Professional

For individuals hired by a PCA agency to serve as a QP during the transition year.

Pre-training

CFSS Steps for Success

The CFSS pre-training module, taken before the corresponding coursework.

Take the training before the test. DHS recommends it and it is free either way. Once you pass, look up your certificate using the lookup form at the bottom of the registration page with your email and name, then send a copy to the office at (612) 345-4490 so we can put it in your personnel file. You cannot work PCA or CFSS services until we have it.

Training requirements depend on which services you provide. The office will tell you exactly which apply to you at orientation, and will not let you work a solo shift before they are complete.

On the job

What we expect on every shift

These are the standards we hold everyone to, and the ones we train on during orientation.

Always

  • ✓ Arrive on time, and call the office early if you cannot
  • ✓ Follow the written care plan rather than improvising
  • ✓ Document the visit the same day
  • ✓ Report changes in condition, even small ones
  • ✓ Treat the client's home, routines, and preferences as theirs
  • ✓ Keep client information private, including on social media

Never

  • ✓ Accept money, gifts, or keys from a client
  • ✓ Handle a client's finances, accounts, or belongings
  • ✓ Transport a client unless it is authorized in writing
  • ✓ Perform a task outside the care plan without asking first
  • ✓ Leave a shift early without notifying the office
  • ✓ Discuss one client with another client or family

Questions

Staff questions

What our caregivers ask most once they are working.

How do I submit my hours?
Submit your visit documentation for each shift according to the schedule the office gives you at orientation. Late documentation delays your pay, so if something prevents you from submitting on time, call the office rather than waiting.
What do I do if I cannot make a shift?
Call the office as early as you possibly can. Do not text a client and do not simply not show up. Someone is depending on that visit, and the earlier we know the better chance we have of covering it.
What if my client's condition seems different than usual?
Report it the same day. Changes in appetite, mood, alertness, skin, mobility, or breathing are the things we need to hear about, even when you are not sure they matter. It is always better to report something minor than to miss something serious.
Can I accept gifts, money, or keys from a client?
No. Do not accept money or gifts, do not handle a client's finances or accounts, and do not take possession of their belongings. If a client offers, decline kindly and tell the office.
What do I do in an emergency during a shift?
If it is a medical emergency, call 911 first. Then call the office. Every client with 24-hour emergency assistance has a documented plan, and you should know that plan before your first solo shift.
How do I request time off?
Give the office as much notice as you can so we can arrange coverage for your clients. Requests made well in advance are almost always accommodated; last-minute ones depend on whether we can staff the gap.
Who do I talk to if a client assignment is not working?
Call the office. A poor match is a normal thing that happens and we would rather change it than have you quit or have a client go without. Nobody is penalized for raising it.
What should I do about my background study?
It must be complete before your first shift. If you have a question about something that might come up on it, ask the office early rather than waiting for the result.
